Main Course:

Before replying to any customer, the first step is to fully understand the message. Don’t rush into responding just because you want to be fast.

Start by identifying the main request. What exactly is the customer asking for? Is it a price, installation, complaint, or general inquiry?

Next, look for the hidden meaning or emotion. Is the customer frustrated, confused, urgent, or just seeking information? Many customers don’t directly say how they feel, but their tone and wording reveal it.

Then, check for key details such as location, timing, product interest, or urgency. Missing these can lead to wrong responses.

Also, consider the conversation history. What was said before this message? Responding without context often leads to repetition or confusion.

Avoid assumptions. Never guess what the customer means—clarify if needed before responding.

Once you fully understand the chat, your response becomes more accurate, relevant, and professional. It also reduces back-and-forth messaging and improves customer satisfaction.
