Then, move to the solution. Be direct, clear, and specific. Avoid vague responses—tell the customer exactly what is happening, what you’re doing, or what they should expect.

After that, guide the next step. Let the customer know what comes next, whether it’s waiting, confirming something, or expecting an update.

Finally, close professionally. Keep it warm and respectful. A simple “Please let me know if you need anything else” or “I’m here to help” leaves a good impression.
